Terms of Service
Version terms-2026-06-06 · Last updated: 6 June 2026
These terms govern your use of Compliance Track. By creating an account or using the service, you agree to them.
1. Who we are
Compliance Track is operated by Maxword Ltd, a company registered in England and Wales, under the trading name Compliance Track UK. Our address is 118 Downland, Two Mile Ash, MK8 8HW, and you can contact us at admin@compliancetrackuk.com. In these terms, "we", "us" and "our" mean Maxword Ltd, and "you" means the customer using the service.
2. What Compliance Track is, and what it is not
Compliance Track is an information and record keeping tool. It helps you record, track and produce evidence relating to right to work and visa sponsorship compliance for your workers, including reminders about upcoming dates and the ability to produce an organised record.
It is not legal or immigration advice, and we are not your legal or immigration adviser. The service does not tell you whether any individual has the right to work, whether your sponsorship is compliant, or what to do in any individual case. The responsibility for meeting your duties as an employer or sponsor remains with you. For advice on an individual case, you should consult a solicitor or an adviser regulated by the Immigration Advice Authority.

3. Your account
You must give accurate information when you sign up and keep it up to date. You are responsible for your login details and for activity under your account, including by any user you invite. Where you invite a manager or other user, you are responsible for who you give access to and for what they do in the service.
4. Acceptable use
You agree to use the service only for its intended purpose and in line with applicable law. You agree not to misuse the service, attempt to access data belonging to other customers, interfere with its operation or security, or upload anything unlawful. You must only enter data about workers where you are entitled to do so and have a lawful basis.
5. Trials, plans and payment
We may offer a free trial. After any trial, continued use requires an active paid plan or an arrangement agreed with us. Our plans and prices are as set out to you at signup or as otherwise agreed in writing. We may change prices on reasonable notice. Payment is taken through our payment provider, and fees are not refundable except where required by law.
6. Data protection
We handle personal data as described in our Privacy Policy. For the worker data you enter, you are the controller and we act as your processor under our Data Processing Agreement, which forms part of these terms and which you accept when you accept these terms. You are responsible for providing any privacy information required to the people whose data you enter.
7. Availability and changes
We aim to keep the service available and to keep your data safe, but we do not guarantee that the service will be uninterrupted or error free. We may update, improve or change features over time. We may suspend access where necessary to protect the service, to address a breach of these terms, or where required.
8. Your data and what happens if you leave
The data you enter remains yours. You can export your records from the service. If your account ends, we will delete or return your data in line with our Data Processing Agreement. We may retain limited records where we are required to by law.
9. Our liability
We provide the service with reasonable care and skill. To the extent permitted by law, we are not liable for any loss arising from your use of, or reliance on, the service as a source of advice, since it is a record keeping tool and not advice, nor for indirect or consequential loss. Nothing in these terms limits liability that cannot be limited by law.
10. Ending these terms
You can stop using the service and close your account at any time. We may end or suspend your access if you breach these terms or do not pay. The sections that are intended to survive, including those on data, liability and the information not advice position, will continue to apply.
11. General
These terms are governed by the law of England and Wales, and the courts of England and Wales have jurisdiction. If any part of these terms is found to be unenforceable, the rest continues to apply. These terms, together with the Privacy Policy and the Data Processing Agreement, are the whole agreement between us about the service.
